The First 90 Days With a PEO: What to Set Up and Watch

The first 90 days are where a PEO relationship is won or lost: data migration, the payroll cutover, tax setup and benefit enrollment all heap into one quarter. Structure it, and the hard part is done; leave it to chance and it stays mess.

Day 1–30: data and access

The migration is the heaviest lift. Load your payroll history, tax filing and benefit enrollment so the PEO starts from your records, not a fresh guess. If it needs several years of history, get your own copy before you hand them the keys.

Day 31–60: the first full payroll

The first couple of runs are where classification errors surface. Confirm your class codes and benefits deductions landed correctly. This is the window where a mid-year wage-base restart is caught, not later.

Day 61–90: review and lock in

Review the first reports and filings against your own records, and confirm the tax accounts are in place. A quiet 90 days is the sign the setup held. Then check the notice and renewal clauses so the term rolls exactly as you expect.

The calendar that matters

  1. Migration complete with your own history kept.
  2. First payroll correct with the right state taxes.
  3. All benefit enrollments and workers' comp done.
  4. Term dates on a calendar you control.

A good setup means the PEO is doing the work, and you are watching the right three or four numbers.

Frequently asked

How long does a PEO implementation take?

Often roughly four to eight weeks for the data migration and setup, with the first full payroll cycle as the real start. More states and plans can extend it.

What is the risk in the first payroll?

State tax classification and deductions that do not match where you employ. Missing registration or the wrong class code can surface a problem after the cutover.

Should I keep a copy of my data during the setup?

Yes. Keep your own payroll and tax history outside the PEO's portal. A vendor's portal is not ownership, and the exit clause is what any separation would test.
